An AI voice agent built around one business
Missed calls cost more than they look. The caller rarely leaves a message. They ring the next business on the list, and that job, booking or patient is gone.
An AI voice agent picks up instead. It answers in a natural voice, knows your services, hours and prices, books the appointment into your calendar and texts the caller a confirmation. Then it writes the call into your CRM, so nobody has to type it up later.
There are plenty of AI receptionist apps you can subscribe to and set up yourself. If all you need is a message taken after hours, one of those may be enough, and we'll tell you so. What we build is different: a voice agent made for one business, tested on the calls you really get, and looked after once it's live. We read the transcripts with you, fix weak answers and add new ones as your callers ask new things.
Voice is where we started. We built Verbeo, a voice AI calling platform for live conversations, outbound campaigns and text and email follow-up after every call, and some of the voice agents we've built handle millions of calls. Aitoflo was founded by Gurleen Khurana, who has built with AI since 2022.
What it does: answer, book, qualify and follow up
Answers every inbound call
Your AI receptionist works days, nights, weekends and the lunch rush. It greets callers with your business name, answers the questions you hear ten times a day (hours, prices, service area, parking, what to bring) and takes a proper message when it can't help. Run it on every call, or only after hours and when the line is busy.
Books appointments
As an AI appointment setter, it checks your real calendar while it talks, offers open times, books the slot and sends a confirmation by text or email. It can also move or cancel bookings, and offer a freed-up slot to the next person on your waitlist.
Qualifies leads
It asks the questions you would ask: what they need, where they are, when they want it done, how they heard about you. Good fits get booked straight in. Everyone else gets a polite, useful answer and a note in your CRM.
Calls out and follows up
Outbound calling agents ring new web leads within minutes, remind customers about appointments, chase open quotes and call back the people you missed. You decide who gets called, when, how often and what is never said. We set outbound work up around Canada's telemarketing rules and your customers' consent.
Sends the text and email after the call
The caller gets what they asked for: a confirmation, an address, a form, a link. You get a two-line summary of each call, with the recording and transcript when you want them.

Book a callWhat a call sounds like
Here's how a call to an auto repair shop goes.
AI: Thanks for calling. You've reached the shop's AI assistant. How can I help?
Caller: My check engine light came on this morning. Can you look at it this week?
AI: We can. Is the car driving normally, and is the light steady or flashing?
Caller: Driving fine. It's steady.
AI: Good. I can book a diagnostic on Wednesday at 9:00 or Thursday at 1:30. Which suits you?
Caller: Wednesday. My dad usually drops the car off, though. He's more comfortable in Punjabi.
AI: No problem. I've booked Wednesday at 9:00 and noted that he prefers Punjabi. If he calls, he can speak Punjabi with me too. I'm texting you the address and drop-off details now.
What happened next: the booking is in the shop's calendar, the confirmation text is sent, and a short summary with the language note is waiting for the service desk in the morning.
Every answer the agent gives comes from your business: your services, your hours, your rules for what counts as urgent. When a caller asks something outside those rules, it says so plainly and takes a message or passes the call to a person.
Languages your callers speak
Metro Vancouver does business in many languages. In Surrey, 1 in 5 residents speaks Punjabi most often at home (2021 Census, City of Surrey profile). Across the region, Mandarin and Korean are common too.
The real-time voice models we use for live calls support:
- English and French
- Punjabi and Hindi
- Mandarin and Korean
- Filipino (Tagalog)
Cantonese is not supported for live calls today, so we don't offer a Cantonese receptionist. Cantonese-speaking callers can be offered a person or a callback, while the agent handles every other call.
Before launch we test each language you need on your own call types, with real accents and real phone-line audio, down to a call from a noisy truck cab. On our first call, ask for a live demo in your language and judge it yourself. More on how this works for Surrey businesses and Burnaby businesses.
How we build it, and what it connects to
| It connects to | What it does there |
|---|---|
| Your phone line | You keep your number. Calls forward to the agent all the time, after hours, or when the line is busy. |
| Your calendar | Checks real availability, then books, moves or cancels. |
| Your CRM | Saves each caller, the reason for the call and the outcome. No CRM? We can build a simple one. |
| Text and email | Sends confirmations, reminders, forms and follow-ups. |
| Your team | Sends a short summary of each call, or one for the whole day. |
The build goes in four steps:
- Listen. On a free 30-minute call, we ask which calls you get, which ones you miss, and what a good call ends with.
- Write the rules. We write down what the agent knows, what it may do and what it must never do. You approve every line.
- Build and test. We connect it to your phone line and calendar, then test it on your real call types, with your staff playing the difficult callers, before any customer hears it.
- Go live and tune. For the first weeks we read the transcripts with you and fix anything weak. After that we keep watching it and add new answers as your business changes.
A voice agent can create more leads than a busy team has time to chase. That's where an AI employee comes in: it picks up every lead the calls created and follows up until each one books or says no. Your staff learn to run both in a short hands-on workshop.
What it does not do
Honest limits matter more than features, so here they are.
- It doesn't pretend to be a person. It introduces itself as an AI assistant and always says so when asked.
- It doesn't give medical, legal or financial advice. It follows your script and books the right person.
- It doesn't take every call. Complaints, emergencies, upset customers and anything off-script go to a person: a live transfer when someone is free, or an urgent text and a quick callback when not.
- It doesn't make promises you haven't approved. No discounts, refunds or prices outside your list.
- It doesn't start new outbound campaigns on its own. A person approves who gets called and what is said.
- It isn't perfect on day one. The first few weeks need tuning, and we do that work with you.
We run our own company the same way. AI staff handle the routine work around the clock, and a person approves anything that goes out to a customer. It's how a lean team does the work of a much bigger one, and it's the setup we build for you.
